End-to-end Checklist
The shape of every EventSync show, start to finish. Skim it before your first show; use it as a pre-flight for every show after that.
💡 How to use this page
Each stage links out to the detail pages for anything you haven't done before. Work top-to-bottom the first few times; jump directly to the stage you need once you know the drill.
Before the event — build
Network
- Build the event network — enterprise-grade Wi-Fi (UniFi or similar), dedicated event SSID / VLAN.
- Decide on a static IP (or DHCP reservation) for the server Mac.
- Keep the event network private — don't share the SSID or password with guests.
- Only servers and EventSync clients should live on this network. (Networking)
Server setup
- Open the Launcher, start the EventSync Server. (Server Applications)
- Set the server PIN. (PIN)
- Set the EventSync Network interface — wired, on the event VLAN.
- Set the WAN interface if you'll use licensing, updates or Proxied custom modules.
- Pair a BackupSync server if the show needs one. (BackupSync)
- Enable the Companion API and passcode if using Bitfocus Companion. (Show Control)
- Work through the rest of Settings before anything else connects.
Event & content
- Import a previous
.eventsyncfile, or create a new Event and set it Active. (Events) - Create the groups you know about up-front — or let Auto-Join handle it later. (Groups)
- Import all content; let transcodes complete. (Content)
- Distribute content to every client. Auto-Distribute handles this. (Distribution)
- Build the cue stack(s). (Cue Stacks)
- Configure modules and their views. (Modules)
- Rehearse — GOs, auto-follow chains, LiveSync feeds, BackupSync failover.
On site — deploy
- Ungroup all devices before travelling so each can be placed and re-assigned on arrival.
- Deploy the server Mac and bring the event network up.
- Place devices physically and assign each one to its group. (Clients)
- Need to swap a failed device? Grab a spare, join it to the group, done.
- Allow time for any last-minute content re-distributions.
- Edit cues and modules on the fly as notes come in.
Pre-doors — lock the show
- Operator Menu off on all clients. (Operator Menu)
- Client debug logging off. (Log Reporting)
- Export the show to a
.eventsyncfile as a backup. (Import / Export) - Verify BackupSync can take control — pull the Primary's cable and watch it happen.
- Dim the ops screen, put kettle on, go.
